The Basics


Who is "in Charge" ?

Manda and Abeno Seimei Co-own Kitsusagi and, as stated in the co-owner agreement, will discuss things together before implementation. Between the two, only they can implement new features, handle black list events, and approve new breeds, templates, and major lore. Major events may result in one of the two managing it but Staff is free to plan smaller events and games.

The Server belongs to Abeno Seimei and was purchased for use for Kitsusagi.

If there is an incident that needs addressing, please approach one of us. If it's an issue with another member of staff, we will keep your anonymity upon request.

Staff code:
  • Do not quote customers inside the staff forums.
    They cannot see in here and receiving a notification they're being discussed without the ability to see what that conversation is about will make said customer worry. It also may reveal events or discussions as the name of the thread is revealed to them upon quote.
  • Staff may enter all events and games as long as they are not judging or entering for a kitsu they colored.
    While this is a "job" of sorts, we only joined Gaiaonline to have fun. Staff are allowed to enter any games and events they are not judging, although they may not win a prize they colored.
  • Colorists of all ranks must post work in the approval channel before dropping.
    It doesn't matter how long you've been with us, your skill level, or position; you need to post the work in the approval channel within the Discord before you can officially upload.
  • Staff must be reachable and noticeably around.
    Staff need to be accessible, whether by customers or staff. It is no one's job to track a staff-member down and pressure for work, or even to see if they're a part of the shop. While you do not need to be posting everyday inside the forum or public discord chats, at least keep up to date with the staff chat and let Manda or Abeno Seimei know of any changes. Consistently vanishing for over a month at a time will result in a discussion of whether or not you're available for the shop. This does not include guest artists, as long as all work is finished within a 60 day frame.
  • Work needs to be finished in 60 days unless customers are notified of the delay. If the work is still not completed by 90 days it needs to be passed on or refunded.
    We need to keep on top of things. While it's a-okay to approach a customer and tell them you need a little more time if the 30 days isn't enough, once it's reached 60 days you need to pass the work on or refund it. If you don't want to find a new person, contact Manda or Abeno Seimei and either will find someone to do your work. Refunds must be returned by the artist, however. This applies to both RLC and regular work.
  • Treat customers with respect, regardless who they are.
    Sometimes, there's going to be a customer you might not like. It happens! But, unless they're on the blacklist they're welcomed within our space. You do not need to plot with them. You do not need to interact with them out of your staff duties. But please, remain civil and unbiased in your approach to customers.
  • Approach Manda or Abeno Seimei when things get out of hand.
    You are more than welcome to stop spats and pull a customer aside to speak to them in they break a rule/start a situation. However, incidents that require further action (i.e greylisting/blacklisting) need to be officially ended by the Shop Owners. The best course of action in this situation is to stop the discussion/fight/incident and send a PM/DM to those involved that they need to cease interaction until Manda/Seimei is able to contact them with further information. If you need to, you may mute someone on the Discord channel if they refuse to stop until either of us are around to address what's happened.
  • Do not take under the table bribes.
    Staff will have many chances to accept work. Colorists will have threads to request breedings and customs, and they may also run games and events. Support staff will have chances to directly hear what customers want and implement those wants upon approval from the owners. There is absolutely no reason to take a bribe under the table. Everything should be upfront and clear. If it's discovered a bribe was taken under the table, not only will the creation be removed but you will be removed from staff. You will be responsible for any refund necessary.
  • You need to be in the Discord.
    We will not be hiring those we cannot reach on Discord, and they must be inside the staff chat.
  • Finish all stages before dropping a growing character.
    Since all basic stages automatically grow, you need to finish all stages before dropping the first one off. This is to prevent times where you might be unable to complete the growth later down the line due to something happening.


How to Handle Issues:

If you notice customer bickering in the thread, discord, or other sites if we expand, please step in and ask them to either change topics or adjust attitudes. This is meant to be a welcoming community but things like this may happen from time to time.

If people are venting in the venting channel, let them be, unless they are destructive to themselves or others. Especially, if they are name dropping or threatening others, at that point we should step in.

If the situation goes deeper into malicious or rule breaking behavior then we may have to pursue further consequences. Immediately step in and put a stop to it. Tell them they cannot interact in the forum, discord, or other sites until they are addressed by one of the owners. You may have to mute them but do not kick them.

We will not witch hunt rumors or anonymous messages. We will investigate messages but we will not accuse a customer of actions without 100% proof. Its not uncommon for the b/c to be rife with rumors so we may have to step in to address toxicity from building within our community and hopefully stop or lessen it. We will not point fingers.

If any drama between shops arises. Keep it in Staff Chat only. Do not vent to the community. The community isn't our personal attack force. We do not want the spirit of animosity to be part of the community and that goes for us too. However, if something gets out of hand, we can make an official statement about the situation.

We also will not target the communities of other shops because of their bad behavior. We do reserve the right to limit access to our shop chats to protect our community members from retaliation. If this needs to happen, Manda or Seimei will step in and chat with them privately if possible.

Going on Hiatus:

If you cannot complete your work or take on any for any personal reason, that's fine. We do not allow for semi-hiatuses. You're either on it or not. It is a formal affair and requires you to post in-thread and on the Discord a notice to the general public that you are unavailable, but not before you've spoken to the owners and your owed work has been addressed (if you have any.) Owed work you cannot complete will be moved to someone else, but you are expected to transfer the platinum/gold owed to them if there is any. If three months have passed and we have not heard from you at all and have not been able to reach you, we'll put you on hiatus. This will later turn into termination if we continue to not hear anything from you.

A hiatus is only meant to be taken if you cannot accept work or complete it. It's not an excuse to wipe a large slate clean. We do not encourage someone to take a hiatus and then immediately take another once being off of it. It's just not manageable for the community and us. Consistency is really key to running a b/c shop, and the moment we allow for that we start to lose trust within customers. Hiatuses start with four weeks. You cannot claim SC, take in RLC, cannot color or do any work, and cannot make yourself or another member anything. You are officially off any duties. If you need to extend it that is absolutely fine. Post a notice you're extending it. We won't penalize you. However, if the hiatus keeps continually being extended and it's noticeable we will need to have a discussion on what is best for you. If you constantly are rotating hiatuses (as in, starting one then ending it with claims you are about and then start a new one immediately and keep rotating this routine) we also will need a discussion.

Going on hiatus and never returning after two months of your supposed return date will result in being removed from staff. If you return with news something occurred and it was completely out of your control (i.e not just avoiding us but something happened), we will immediately rehire you. We are not going to punish someone for life attacking them.

Quitting Staff:

If you need to leave us then we understand. We won't pressure or beg you to stay -- that's isn't fair to you. You may leave at any time you wish. We do have a protocol for quitting and we ask you follow it or risk being banned from the shop (as leaving us with work you didn't refund is kind of not cool).

When quitting, message either owner first. Tell them your intentions and what your plan for the work is. We ask you do not quit until all work is handed off, refunded, or completed, as leaving prior puts us in a position where we don't know what will happen to that work if you decide to just not complete it. If you refund it must be the exact amount you owed, no more or less. If you pass it off it must be to a staff member who is willing and has agreed to taking it on. If you complete it you must do so while staff. If you've told us you wish to complete the work first you can, but understand you're not considered for events, customs, or breedings. You may not take on new work or make premades. You are only expected to finish what you owe. We will no longer rely on you for staff duties and you are relieved of them.

Once it's figured out what will happen if you have owed work you may post to the public to announce your departure if you wish. If you are finishing owed work yourself, however, you need to wait until that work is done.

Failure to address what happens to owed work and just leaving will most likely result in a ban, as that leaves us in a unfortunate situation and isn't fair to the team. Making a public post that bad mouths the shop or other customers will also likely receive a ban. We will always respect your wishes and never force you to stay with us. All we ask is that you don't leave maliciously and attempt to slight the staff, shop, or customers.

As a note, unused SC can still be redeemed.

If you left on good terms you are always welcomed to apply for hiring again! We will not rehire on the spot without an application as it is unfair to those who did apply and we don't want to upset customers.

The Requirements

Support Staff
We do not hire part-time for support roles. We really need hands on deck when it comes to behind the scenes, and we need those hands to be ready. You do not actively need to be pumping events out or making RP-based games 24/7, but you're expected to be ready when help is needed and around to monitor events if you're an RP Manager. Creating RP-based games/events however is a giant help to the shop and something we actively seek when hiring for RP Managers. Handle certs or update the owners list at least once a month. The less work you put out, the less we will rely on you. We will hire if we need more activity.

Full-Time Colorist
You must be able to contribute a minimum of 3 kitsu per month. You must open and maintain a coloring thread and be able to take a minimum of 2 customs or 1 breeding a month. You may take unlimited customs and breedings and run games as you please (as long as the kitsu have been approved of course). You may help plan large events and take RLC once your quota/outstanding work is met.

Part-Time Colorist
You must be able to contribute a minimum of 2 Kitsu per 3 months. You may have a colorist thread but can only take 1 project a month to ensure completion. You may run smaller games (as long as kitsu have been approved of course). You may not plan large events. Can apply for RLC slots every 3 months if quota/work is completed.

Guest Colorist
To stay an active guest colorist, you must color 1 to 2 kitsu for game use per year. We are looking for you to be active in the community, even if unable to take on work at the time. If we do not see you around or hear from you for over a year, you will be removed from the staff role on discord. Over 2 years, guest role will be moved to inactive. No RLC availability.

Coloring Guide


Colorist Threads
Colorists must run a colorist thread if they wish to take work on (this does not include guest colorists). Accept work from this thread and keep in mind the restrictions pertaining to your role. Work should be finished within 60 days and dropped in-thread using the correct mule. Payment can only be accepted once the work is done, to prevent any issues occurring if a refund is necessary.

You may have your own rules in what you will and won't accept. You may not offer slots that allow for mockbreedings, redos of another active colorists work, Gods/Demi Gods/ Enlightened characters, and breed hybrids. You may offer breedings, customs, free slots, Guardians, trinkets, and accessories.

What are Guardians?
In most shops these are called Familiars. In this case, we call them 'Guardians.' They are small companion creatures to the kitsusagi. Often they are hybrids or elemental versions of real animals. They can help kitsu in combat, social situations, or mental exercises. You may come up with new guardians but they must be pitched to and approved by Seimei or Manda.

Conversions from Legacy Lines
Community Members may submit their kitsu on legacy lines to be transferred on to the new lines in your customs. It is not required of them to do so. They may still use the kitsu on old lines in the shop. If the colorist is still with us, the kitsu must be given to that original colorist for conversion.

Some of the colorists, however, have left us. If a community member has submitted a kitsu to be converted by a past colorist you may go right ahead and convert!

If they are trying to convert a species that hasn't been rediscovered, they must either wait or they may choose to convert it to an available species. However, once converted, they may not convert it again.

Members may not ask for additional edits, although they can ask for less. They may request either the appropriate new base or the upright base. All Kitsu will be adults. Customers may not request changes to the characters markings or colors. They may allow you to have artistic freedom to alter some of the design, but it is up to THEM to decide.

Breeds, Variants, Hybrids, and Mutants
Breeds are lines that come with their own lore.
Variants are templated alternates of those racial lines such as the different horn styles that are available to nightmares
Hybrids combine the breedlines of two different Kitsu.
Mutants are untemplated changes to the body of the kitsu such as cat tails instead of fox. Changing the pose of the legs/wings. Giving kitsu's Butterfly wings. ect.

We do not do hybrids of breeds unless for very special occasions. This is because every breed has their own powers and balance in the world. If we start mixing willy-nilly we might end up with characters that overpower those who are supposed to be strong; i.e enlightened/gods/demi-gods. Hybrids can be RLC'd, but for a steep price. It physically alters their capabilities and place in the world.

Mutated breedings allow for the rules to get muddled. Mutants are off the wall children that really just allow for anything. We'll host these kind of breedings in specific events. For example, a kid with fourteen eyes on them, spider legs, a cat tail, and a nightmare breed is a mutant. Their certs will be marked as such.

Coloring Do's and Don'ts
We have a few rules on how to color. Once you get the hang of it you won't need this list anymore! Things may be added and removed as the shop grows, but there will always be a note and the kitsu made before a new rule will be permitted to remain as is.

Do's

  • Color the lines! You can choose how this is done; you can color the body one solid color or color it per marking. Make sure the lines are easy to distinguish from the body. This means avoiding pure black on the body. Eyes and mouth lines can stay black, as that's a stylistic choice we accept and fits well with the style we are going for.
  • Add details to the eyes and orbs. Make them sparkle! Make them pretty!
  • Add minimalist highlighting to accentuate shine, hair, metals, and other related materials.
  • Color the Shading! I typically use the same color as the lines for this.(Shading should already be set to 50% opacity.)
  • Resize according to the chart.
  • Extend the canvas to fit edits. It may make certing a little harder, but that's fine.
  • In a breeding, unless a special event is going on, stick to the colors and patterns available on the parents.
  • Hair and fur colors are considered separate. Eye colors must match parents.
  • Collaborate with another artist.
  • Template any edits on a premade/event Kitsu. Customs and breeding specific hairs must require permission from the customer.
  • Make new templates. Approach Seimei or Manda with sketches first to ensure they fit.
  • Get your finished work approved!
  • Cut the canvas to fit the kitsu when it's done.
  • Stream! Ask before streaming event kitsuasagi in case we're keeping it super secret. Chances are, we won't. We like revealing hints.

Do Not's

  • Leave the lines black entirely.
  • Color the lines an obnoxious, non-fitting color.
  • Drop a kitsu without getting it approved.
  • Color an god/demi-god/enlightened character or Hybrid without permission.
  • God/demi-god/enlightened's and Hybrids will have unique custom slots and chances.
  • Release new templates without approval.
  • Forget to resize.
  • Leave a surplus of empty space.
  • Stream super secret events before they're approved.

Edits:
Normal kitsu do not typically have non-templated edits. Normal kitsu can have variants of their breed, but those edits are already templated and available for general use. If a Kitsu has unique body edits not found on a template, most likely it's a mutant.

You may add glow to eyes and parts of the body, make unique pupils to eyes, add accessories, make elaborate hair, add little creatures to the kitsu (bees, spiders, little cats, etc.)

RLC
All full time and part time colorists will be able to take on RLC. However, there are limits to how much you can take and how long you have to complete it. You also must have all other work and quotas completed.

Full time may take RLC monthly. Part time may take RLC every 3 months.

  • You can take only one RLC at a time if doing full customs.

  • You may do Semi-Custom sheets with up to 5 kitsu on it. Lines must be completed and approved before releasing the sheet.
  • Fully colored kitsu must still be submitted for approval.

  • You may do blind box kitsu, up to 5 a sheet. These must be fully lined, colored and approved before selling.

  • RLC must be handled via official Kitsu email.


To help with the cost of the server. 10% of the monthly RLC taken must be given to the shop. RLC payments will be sent to the Kitsu Paypal and, once the item is completed, payment will be sent to colorist.
This is also to help facilitate refunds.


Streams
You may always stream. You do not need permission to stream unless you're showing event-specific kitsu.

Growths
When growing a character please keep in mind the growing lengths. For easy reference, here's the lengths (they'll also be on the front page):

  • Orbs last a week
  • Kits last two weeks


Cropping and Resizing
You must resize your creations! No if ands or buts. The list goes as;
  • 60% for Neutral Adults
  • 50% for Adults
  • 40% for Kits
  • 25% for Orb lines

If an edit drastically changes the resize value, resize to fit the lines they fit. As in, if a giant edit makes a kitsu resize way too small at the normal value, grab a regular file, resize that, and compare the two until the edited one fits.

Crop the white space from around the kitsu so that its as small as possible.

Ensure the Kitsu has a transparent background. You will be asked to re-upload if it doesn't.

How to Upload and Access the Server

Rename the File
We use a numbering system when naming our files. Everyone has their own folder on the server and therefor your numbers will not match another colorists. A colorist who colored 50 ponies will be at 050, while another who colored 20 will be at 020. If the pony is growing it'll share the same number throughout all it's stages.

We also has a letter beside the current number we're at to dictate stage. It doesn't matter if the pony has only one stage or not, the system will always be the same. The letters and bases they correspond with are;

a = orb stage
b = kits stage
c = adult stage
d = enlightened stage
e = demi god
f = god

Guardians
Guardians mimic the same system, using their own numbers. You do not use a letter for their files.

Accessing the Server
The Realms of Kitsusagi has its own website to host images. However, you're going to need a guide on how to use it, as you need to download a program + get used to the set up. If you've never used a program like this its all good- its pretty much exactly the same as using a windows operating system. constantLogic put together this basic guide for us to use:

WINSCP (Windows Required/Recommended) You can use a Mac, but you'll find an easier time on a Windows.

1. Download the Program: https://winscp.net/download/WinSCP-5.13.4-Setup.exe

2. Run the installer.

3. Step through the installer (choose typical) until you come to the initial user settings.

4. Choose "Explorer" if you don't know which to pick.

5. Install.

6. Run the program. The dialog box (a bunch of options) should appear. If this doesn't happen, contact constantLogic or Variable Nonsense.

7. Highlight "New Site".

8. Choose "FTP" from the File protocol dropdown. Enter your other information exactly as it's been given to you.

9. Click "Save". When the smaller box comes up, you may choose any name for the "site" option and to save the password.

10. Click the login button (it has a green icon at the bottom of the Login window).

Navigating
Very straightforward if you chose the Explorer interface.

The file structure (tree) should be on the left, while the main area of the program is on the right.
What you see in general are the remote directories. You can use this just like you would your own system. There are pre-installed folders for every colorist. Please place things accordingly to the folders made for you, but you may make extra folders to hold any banners or other random Kitsusagi work you do.

If you chose Commander, I hope you know how to operate a multi-tree interface.
If you didn't mean to and you need to switch, you can find the option under View -> Preferences -> Interface.
You'll need to restart WinSCP afterward to make the change.

How to Upload
In WINSCP, uploading is pretty simple. You CAN drag-n-drop files! Make sure you are all the way in to the folder you want to upload the image to (i.e., nymphiea/uncerts), then drag the file from your computer into the WINSCP window. You can't just drag it into the file on the lefthand view of WINSCP, it has to be dragged into the righthand view. Alternatively, in the upper righthand part of the task bar you can click Synchronize- that will allow you to upload an entire folder from your computer into WINSCP. It will upload everything in that folder including other folders and files that are NOT PNGs, so only use this if there are no other folders/only PNGs in the folder you're synchronizing. Ultimately, drag-n-drop is easiest.

In FileZilla, there are two boxes on the bottom of the screen. The lefthand side is your actual computer, the righthand side is nymreal.com. You can right click in the nymreal.com section to make a new directory - set it up accordingly. Then, you can drag-n-drop files from the left side to the right side to upload them. Unlike WINSCP, you do not have to drop them directly into the folder- you can just drop them into the folder name just like when you're using your own computer. (Assuming Macs function this way too.)

General Tips
You'll find that whatever you upload like this will take the form of

If you're logging in with user "test" and file "file.jpg", for example:

If you upload the file into the folder you start in ( "/ <root>" ), your address will be http://kitsusagirealms.com/test/file.jpg

If you make a folder called "xyz" and upload your file into that folder, your address will be http://kitsusagirealms.com/test/xyz/file.jpg

How to Set up Your Directory

In WINSCP, highlight on <root> and then press ctrl+D, that will open a window where you can name your new directory (folder). Please use all lowercase for directory names! URLs will be case sensitive, so we're trying to stick to lowercase only for ease. We are standardizing things for upload. Your directory has been set up for you as:

seimei (directory name)
>cert
>event
>pets
> trinkets
>uncert
>banners (optional, does not come with. you may add this yourself.)
>misc (optional, does not come with. you may add this yourself.)


File names (PNGs) should be uploaded with lowercase letters to follow style. These programs will upload PSDs/SAIs or other files so please make sure to only upload PNG files to save space. Additionally, do not use this to upload personal things. This site is for official Kitsusagi purposes only.

Once uploaded, urls will look like this: http://kitsusagirealms.com/seimei/uncert/002c.png




Notes
Unfortunately, this program does not show thumbnails or let you preview images without right clicking + clicking the option called 'View/Edit'. However, it does not have adds, has a tremendous amount of space, and won't yell at us for 3rd party hosting, so hey, not so bad!

ONLY upload template PSDs/Sai files (hairs, eyes, accessories). Do not upload the individual kitsu or guardian PSDs/Sai files.

How to Handle

Artist Thread
As stated above, you will keep an artist thread and open it when you're ready to take work. Keep in mind restrictions that may pertain to your role, and general shop restrictions (no Hybrids, no Gods/Demi God characters etc etc.)

You may close your coloring thread and reopen as you see fit. Need a break for a month? That's fine! Just post a note in the title that it's closed.

Breedings
Breedings must use the official shop form, but you can edit it slightly to fit your colorist needs. They must be on the adult base and not related. The RNG channel is where you'll show screenshots of the what the breeding generator gave you. You can find the breeding generator here.

Breeds and number of kids will always be RNGed using the breeding generator. Customers are able to add kids via RP perks. You'll find more info on max amount of kids, RP perks, etc in the colorist forum. Ensure you're using the correct Orb when coloring. You decide how markings carry over, and other details. Markings, colors, and eye colors should always be from the parents; we do not mix colors to make new ones. If the dad is red with purple stripes and the mom is yellow with green dots, you have red, purple, yellow, and green to choose from and stripes + dots for markings. Select the colors from the parents. Don't just pick a random green.

When a hybrid breeds, you'll need to use the breeding generator and determine whether a kid will be a hybrid or not. If you successfully roll for a hybrid, the child will be the same breeds as the hybrid parent, and use the same edits. You do not get to re-diversify the breed edits. The only time this can happen is during special breedings where we have special rules.

Games/Mini-events
Want to run a game or mini-event (small series of related games)? You need approval for every kitsu made so check in once you've colored the kitsu that they're doable. Mini-events should be pre-approved. Generally, you're trusted (as long as your position says you can run these things) to run games/mini-events without extensive approval! Just get the kitsu approved. Mini-events typically do not alter canon, introduce new breeds, or provide anything to the story.

Large Events
Events that take longer than two weeks are considered a more extensive event that needs approval. These kind of events can have meta's, lore attached, new breeds added, and general big shop things happening. It doesn't have to, either. You need approval from the owners before you plan these. Lore additions will need approval by either owner, and most likely worked on by RP Managers, Manda/Seimei, and you. There will be events pertaining to lore that only the owners handle; these often will be new breeds and map additions/story additions that were pre-planned. RP Managers will always be given tasks during these events and often requested to run RP-specific events in coloration.

Events (For RP Managers and Game Managers)
Want to make an event happen? Talk to the owners. It needs to work with shop lore and direction. We're looking to expand the world right now. New breeds are not always going to be sudden new sights; we've reworked lore so that quite a few breeds probably existed from the beginning we just haven't mentioned it. Having everyone "come out of hiding" isn't manageable. When it comes to what we're looking for when it comes to meta's and large events we're looking to reinforce the traditions of the world. We have a calendar and also holidays explanation, as well as a map explanation. We're looking to explore strange territory and do holiday events that replicate the worlds own version of holiday's. Our own culture will not be seen as much.

New Breeds
New breeds will be lined by Seimei 98% of the time. If she's not around or cannot do it we will open the lines to another artist. New breeds primarily come from two methods; RLC from a customer/staff member OR an addition Manda and Seimei add for lore reasons. The reason most breeds need RLC is due to the amount of time put into their creation. You need to do an Orb, A Kit, an Adult, and any variants that follow. Not only that, but the lore creation will fall primarily on the owners and any RP Manager she might bring into the situation, plus those who receive a breed get the first custom. New breeds will not be a free option unless it's offered. There WILL be chances for customers to input on a new breed here and there, but it is up to the discretion of the owners to open that chance.

To add onto that -- if a customer or staff member helps design a breed they cannot revoke said breed once it's official. It becomes shop property. We will never take away the influence someone put into a breed , regardless of our stance with the customer/staffer. Anything they added, such as lore specific details and requested edits will remain on the breed regardless of the future. For instance, if someone commissioned a breed that could have only tentacles for tails we would not suddenly nix that detail or add more tail options if they were banned/left.

Additional Templates
Approach Manda or Seimei first and state the idea in mind. You'll most likely be approved. Having options is always fun, and while we have some restrictions due to being a shop that has specific lore and shop-setting, we're open to having as many pretty templates as possible. Hair templates and facial templates (unless they have multi eyes and strange mouths) do not need approval most of the time, but it's polite to have a quick glance over before it's official.

Files should be uploaded to the lines channel so everyone has access. Please don't withhold a template from one colorist but provide it to another; it breeds insecurity and we want to be kind to one another.
